Please read the following Terms and Conditions carefully, as they outline important information regarding your booking, payment, privacy, and responsibilities as a client. By proceeding with your appointment, you acknowledge that you have read, understood, and agreed to these Terms.

Appointment Information

  • Consultations are provided by a fully qualified healthcare practitioner and Certified Practising Nutritionist (CPN), registered with the Australian Natural Therapists Association (ANTA) and the Australasian Association of Registered Practising Nutritionists (AARPN).

  • Appointments may be conducted in person or via telehealth (online).

  • Consultation duration and format may vary depending on your individual needs.

  • While every effort is made to begin and end consultations on time, minor delays may occasionally occur.

Fees and Payments

  • Consultation fees are displayed on our website or communicated at the time of booking.

  • Full payment is required at the time of your appointment.

  • All fees include GST, where applicable.

  • A Tyro Health processing fee may apply for payments made via Tyro Health terminals or online payment links.

  • Fees are subject to change at any time; however, confirmed bookings will be honoured at the rate quoted at the time of scheduling.

  • Receipts are issued upon payment for your records or for private health fund claiming (where eligible).

Cancellation and Rescheduling Policy

We understand that life can be unpredictable, but late cancellations impact our ability to serve other clients.

  • A minimum of 24 hours’ notice is required for cancellations or rescheduling.

  • Cancellations made within 24 hours of the scheduled appointment time will incur a 50% cancellation fee (50% of the total consultation fee).

  • No-shows and Non-attendance without notice will be charged the 50% cancellation fee (50% of the total consultation fee).

  • Exceptions for emergencies or exceptional circumstances may be made at our discretion.

  • All electronic client records are stored securely within encrypted, password-protected systems compliant with Australian data protection laws.

  • Physical files (if used) are kept in locked cabinets within secure premises accessible only to authorised staff.

  • We retain records for the minimum period required by law or professional guidelines, after which they are securely deleted or destroyed.

  • Nutritional advice is provided in good faith and based on professional expertise and the information you disclose.

  • Results will vary between individuals; therefore, no specific outcomes are guaranteed.

  • Wholefoodie Nutrition, its employees, and contractors are not liable for any injury, loss, or damage resulting from the use or misuse of advice provided during consultations.

  • Clients should seek medical attention for any condition requiring medical diagnosis or emergency care.

Use of AI-Assisted Note-Taking Systems

To enhance record accuracy and client care, Wholefoodie Nutrition may utilise AI-assisted clinical note-taking systems to transcribe or summarise consultation discussions.

These tools are designed to improve efficiency and accuracy, not to replace professional documentation or clinical judgement.

How AI note-taking is used:

  • The AI system may transcribe, summarise, or assist in structuring consultation notes during or after your session.

  • Any AI system used complies with Australian privacy standards and data protection requirements.

  • All information is stored securely, and access to AI-generated content is restricted to authorised personnel.

Your rights and responsibilities:

  • You will be informed before your consultation if AI note-taking tools will be used.

  • You may decline the use of these systems at any time.
